Job Role
Supporting the company with reception, despatch services, events preparation, and client hospitality.
Key Tasks – Reception
• Meeting and greeting visitors and managing sign in process
• Managing reception mailbox
• Screening phone calls, enquiries and requests
• Liaising with building management and facilities
• Meeting room booking and organisation. Managing meeting rooms and refreshments
• Ordering and managing stock levels for office supplies, stationery, cleaning and kitchen supplies
• Organising weekly office breakfast and fruit order
• Organising couriers
• Dealing with ingoing and outgoing post
• Ad-hoc admin tasks and project work such as photocopying, filing, data inputting
• Supporting office events
• Front desk credit card management
Key Tasks – General Office Management
· Daily restock of staff kitchens with supplies
· Take delivery of all incoming post and parcels, log them in and notify relevant staff
· Frank outgoing mail at the end of the day, managing department accounts on Franking machine and create report monthly
· General housekeeping and maintenance
· Printing labels for mail outs
· Helping events team with props for red carpets
· Recycling management
· Help in other departments as needed
· Become a trained fire marshall and first aider (training to be provided)
This is a role best suited to someone who enjoys working with people, thrives on variety and is comfortable managing tasks of all sizes. A great office assistant creates a calm, professional and welcoming environment, making a lasting difference to both staff and visitors alike.
This is a permanent role (on-site position, working hours 9am-5.30pm weekdays, with occasional out of hours working), with 20 days holiday per annum (plus all public holidays).
